Archai Board

Privacy policy

Last updated 21 October 2026

Archai (“we”) runs Archai Board, a visual workspace of pages, notes, to-dos and documents. This policy explains what we store, why, who processes it and how you can remove it.

What we store

  • Account: your name, email address and profile picture from Google sign-in, and your session records (sign-in time, IP address and browser).
  • Your content: pages, items, documents, links and their version history, a search index of that text, and files and images you upload.
  • Sharing: the people and email addresses you invite and the share links you create.
  • AI use: your conversations with the in-app assistant, and a record of each AI run (which app ran it, token counts, cost and the changes it made so you can undo them).
  • Connections: the AI apps you allowed to use Archai Board (the app, the permission you gave and its access tokens), and, if you connect them, your Google Gmail, Calendar and Drive connections (see below).

Google data

Sign-in uses Google. If you choose to connect Google services in Settings, Archai Board asks for read-only access to Gmail and Google Calendar, and for access to the Google Drive files you pick yourself. We use them only to answer your own requests in Archai Board, for example reading a thread you ask about or listing your events for a date range. Mail and calendar content is read when you ask and is not kept by us unless you or the assistant save it into a page. The Google connection tokens are stored encrypted. You can disconnect any service in Settings > Integrations, or remove Archai Board in your Google Account permissions.

Archai Board’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising and do not allow people to read it, except where you ask for it, for security, or to follow the law.

How AI features process your data

The in-app assistant sends your request, and the page, mail or calendar content you ask it to use, to Google’s Gemini API under a paid API tier. Under those terms Google does not use this content to train its models. We do not use your content to train models either.

If you connect an AI app (for example ChatGPT or Claude) under Settings > Connected apps, that app can read and change your pages with the permission you granted, and receives the page content you ask it to read. That app handles it under its own privacy policy. You can revoke any app in Settings > Connected apps; its next request is refused. Archai Board never gives connected apps access to your Gmail, Drive or Calendar.

How we use it

  • To run Archai Board: show your pages, sync edits between your devices and collaborators, search, and deliver invitations.
  • To run AI features and to enforce usage limits and spend caps.
  • To keep the service secure and to prevent abuse.
  • To answer your support requests.

We do not sell your data and we do not show ads.

Cookies and tracking

Archai Board sets only essential cookies: your sign-in session, and a cookie that remembers share links you opened. We use no advertising or cross-site tracking.

Who else handles data

We use providers for hosting, the database, real-time sync, file storage and email delivery, and Google for sign-in, Gemini and the Google APIs you connect. They process data only to provide those services to us.

Retention and deletion

  • Your content stays until you delete it. Pages and documents you delete sit in the trash and are removed permanently after 30 days.
  • The journal of AI changes that powers Undo is removed after 30 days.
  • Uploads that were never attached to a page are removed within a day.
  • To delete your account and the data in it, write to the address below. We act on verified requests.

Your rights

You can ask us for a copy of your data, to correct it or to delete it, and you can object to how we use it. Write to the address below from the email you use to sign in.

Children

Archai Board is not directed at children.
